Advice Team Terms of Use

 

Edge Hill Students’ Union (EHSU) Advice Team offers a confidential service – nothing you tell us will be shared with any other organisation or individual without your expressed permission.

An interview room can be made available upon request. Please inform your adviser if you would like to be seen in an interview room.

 

The EHSU Advice Team will give advice and information to the following:

 

•    Students currently registered at Edge Hill University (*we cannot advise or discuss cases with students’ parents without, current, written consent from the student).
•    Prospective students of Edge Hill University who have a conditional or unconditional offer of a place at the University.
•    Recent graduates of Edge Hill University whose case is still ongoing.
•    Students who have been withdrawn/expelled from Edge Hill University who present themselves within 6 months of the date of withdrawal/expulsion.  

 

If resources permit, EHSU Advice Team will also advise:


•    Prospective students who do not have an offer of a place at Edge Hill University

 

In certain circumstances, it may be appropriate to refer/signpost you to an internal/external agency, if the nature of your query is outside the scope of the Advice Team work, i.e. judicial review.

 

Representation and attending meetings

 

Whilst the advice staff will endeavour to provide representation and support at Panel hearings and disciplinary meetings this will be dependent on:


•    Adequate notice being provided by the client. (ideally, where possible, 5 days-notice)
•    Full disclosure of all correspondence relating to the hearing / meeting.
•    Adviser availability (advisers are often booked up in appointments days/weeks in advance)
•    The nature of the meeting (Advisers would not normally be expected to attend academic progress meetings unless the student can show that there is a possibility that it may progress to a procedural panel or sanction).

 

*Whilst we can understand that students will sometime wish for someone to attend an academic meeting to offer emotional support, or to take notes or be a “witness”, we must point out that this is not the remit of the advice service and this type of support would only be allowed at the discretion of the advice Team manager (and dependent on adviser availability / possible service disruption) as students are informed that they can bring a friend to any meeting to perform this role.


EHSU reserve the right to withdraw the service in the following circumstances:

 

•    If you are violent, aggressive, abusive or harass a member of staff within the Advice Team.
•    If you have made a complaint against the Advice Team and this is currently being investigated.
•    If you have made a complaint against the Advice Team and this has been found to be vexatious.
•    If you are seeking advice from or have another agency acting on your behalf.
•    If you have requested and fail to attend 3 appointments without contacting us to cancel or postpone.
•    If you exhibit behaviour that is likely to affect the adviser, or the advice service persists after a warning is issued (such as unacceptable or unreasonable amounts of emails or calls to the adviser)

 

Data Protection Information;

By contacting the advice centre for an appointment, you will have provided us with your name and email address, student ID and course information. This allows us to create a case file for you using the details provided. Alternatively we may also request your details and information via a case form if you have not booked an appointment. This will provide us with further special category information, which may be used for statistical analyses. The completed form gives us permission to keep a record of the advice given along with your full details as per recorded on the case sheet.

 

We require this information to be able to respond and advise, as per your request. This is called “legitimate reason.”

 

In accordance with Article 6 of the General Data Protection Regulations 2018, EHSU Advice Centre has a legitimate interest to process information relevant to your case or enquiry. We will process your information for a period of six years to satisfy your interests and those of EHSU Advice Centre. Your information will remain confidential and stored securely within EHSU Advice Centre and on our case management system, AdvicePro. You have the right to access the information we hold on you, update your information and request for it to be deleted. Please email your request to suadvice@edgehill.ac.uk. You will receive a response within five working days.
